What an HVAC estimate should include

A thorough estimate protects you from scope disputes and gives the customer confidence to say yes. Cover all eight of these every time:

  • Customer contact information. Name, phone, email, best time to reach, and a backup contact
  • Job site address. Address, gate codes, dog warnings, lockbox info, or other access notes
  • Equipment details. System make, model, serial number, age, and tonnage for every unit
  • Itemized labor and materials. Line-by-line pricing with quantities and unit costs; diagnostic and trip fees broken out
  • Scope of work summary. What the estimate covers, what it excludes (permits, haul-away, electrical upgrades), and conditions that could change the price
  • Validity period. Expiration date on the quoted price, typically 14 to 30 days for HVAC work
  • Payment terms. Accepted methods, deposit requirements, balance due on completion
  • Warranty information. Coverage length on labor and on installed parts separately
