What a plumbing work order should include

A properly documented plumbing work order protects you on warranty calls, code-board inquiries, and disputes. Cover these seven items on every visit.

  • Work order number and visit date. A unique identifier and the date the work was performed, so warranty claims and code questions can be traced to the visit
  • Customer and job site details. Name, service address, and the location of the issue (kitchen, bath, basement, yard, or cleanout in the alley) plus shutoff locations
  • Problem description and diagnosis. What the customer reported and what the tech found on arrival
  • Work performed. The repair, replacement, or installation done, with fixtures, pipe sections, or valve locations identified in plain language the customer can read
  • Materials and labor. Parts used with quantities, hours billed at the rate, and any code-compliance notes for the permit file
  • Test results. What was tested after the work (pressure test, flow check, dye test) and the reading
  • Customer sign-off and notes. A signature line, space for customer notes, photos, and follow-up recommendations
