What a dispatch schedule should include
A good dispatch board gives the whole office one source of truth for the day. Cover these eight elements and you'll catch problems before the first truck rolls.
- Date and tech columns. One column per technician with name, vehicle ID, and skill tags (HVAC install, drain cleaning, aerial work, pest interior, etc.)
- Time slots. Hour blocks from the first appointment through the end of the day, with travel time between stops built in
- Job rows. Customer name, service address, job type, estimated duration, and any required parts, permits, or customer-not-present instructions
- Status flags. Color or icon for confirmed, en route, on site, complete, and callback so the dispatcher can scan the day at a glance
- Zone or territory tags, so the dispatcher can see which tech covers which area and avoid cross-town jumps that burn fuel and time
- Notes column. Gate codes, dog warnings, customer contact, the job's priority level, and any customer preference (no shoes inside, call on arrival)
- Callbacks and warranty visits. A separate row category so return visits are visible without scrolling through the day's paid work
- End-of-day targets. Revenue goal or stop count for the day, so the dispatcher can fill gaps when a job cancels
