What this field service report includes
A complete report protects the tech on time disputes, resolves warranty questions, and links every visit to the right equipment record. Make sure yours covers all of these:
- Report number and visit details. A unique identifier, the visit date, the tech assigned, and the time on and off site
- Customer and job site. Name, address, equipment location on the property, and any access notes that affected the visit
- Work performed. What the tech did, including the diagnosis, the repairs, the replacements, and the tests run before and after
- Parts and materials used. Line items with quantities, part numbers, unit cost, and the warranty terms on each installed part
- Test readings and measurements. Voltages, pressures, temperatures, flow rates, or whatever measurements prove the work was done right
- Recommendations and follow-up. Anything the customer should consider next, with a clear deadline if it is urgent
- Customer sign-off. A signature line, plus space for tech notes, customer questions, and photo attachments
- Arrival and departure times. Clock-on and clock-off timestamps so the office can bill correctly and techs can defend themselves on time disputes
